We are seeking a highly organized and proactive Personal Assistant to support the CEO in managing business and personal responsibilities effectively.

Key Responsibilities

  • Handle and prioritize business communications, including emails, calls, and correspondence.

  • Prepare, proofread, and edit business reports, presentations, and other documents.

  • Schedule and coordinate meetings, prepare agendas, and take minutes.

  • Act as the primary liaison between the CEO and internal/external stakeholders.

  • Communicate and coordinate with local authorities, including government offices and agencies.

  • Organize domestic and international travel arrangements, including flights, accommodations, visas, and transportation.

  • Prepare detailed travel itineraries and manage travel expenses.

  • Coordinate with local vendors, suppliers, and service providers for business and personal needs.

  • Handle personal communications, including RSVPs, invitations, and event planning.

  • Assist with errands and ad hoc tasks, both professional and personal.

  • Support the CEO with compliance, documentation, and administrative responsibilities.

  • Participate in strategic projects and assist in research as required.

  • Maintain confidentiality and ensure the smooth running of daily operations.


Requirements

  • Proven experience as a Personal Assistant, Executive Assistant, or similar role.

  • Fluency in Polish and English (spoken and written) is mandatory.

  • Exceptional communication and interpersonal skills.

  • Strong organizational and multitasking abilities with attention to detail.

  • Proficiency in Microsoft Office Suite, Google Workspace, and scheduling tools.

  • Familiarity with managing travel arrangements, including visas and international travel.

  • Experience communicating with local authorities in Poland is an advantage.

  • Discretion and trustworthiness with sensitive information.

  • Ability to work under pressure and manage multiple priorities.

  • Knowledge of tools like Slack, Trello, or CRM systems is a plus.
